Job Purpose 

  • The Office Administrator
    will be responsible to
  • coordinate and oversee the
    administrative duties and

functions that facilitate the smooth and efficient running of the Amsterdam office, organising people, information, and other office duties. This person will work closely with the Team Operations Manager in the London office to ensure all processes work effectively are consistent, clear and streamlined across both offices. This role will have also provide some administrative support to the Chief Technology Officer as and when required.

Responsibilities: 

Your crucial administration functions across the Begame team, include:

  • Act as main point of contact for any administrative needs for Begame NL colleagues
  • Support the CTO with any office administrative activities or queries.
  • Ensure all invoices received via post or email are sent to the Finance Team in a timely manner by the due date
  • Work with the Team Operations Manager to maintain the Begame NL HR system ‘Apolyed’, to ensure it is kept up to date with all employee documentation. contractual documents, training records, sickness, annual leave and any other employee related information.
  • Support the Team Operations Manager on the onboarding of new starters from recruitment, to processing all contractual documentation and completion of legislative documents.
  • Organise the onboarding equipment and IT setup, ensuring all invoices and receipts are logged appropriately and accurately in line with the Begame invoice approval process.
  • Responsible for ensuring that all administrative changes for existing staff members are processed in a timely and professional manner.
  • Maintenance of the office environment and all IT equipment
  • Ensure that all post is opened, responded to, and scanned and sent to the relevant person(s) in a timely manner with no delay.
  • Maintenance of the office environment to ensure it is clean, tidy and adheres to all health and safety requirements.
  • General front of house duties, such as greeting visitors, answering phones and managing deliveries.
  • Work closely with the Team Operations Manager to implement the Begame Group policies and procedures and promote the company’s values and culture.
  • A good understanding of recruitment and HR practice would be desirable.
  • Help to organise social events and activities.

 Skills/Competencies:

  • 3 or more years of experience in a similar role across office administrative functions
  • Knowledge and experience of payroll processing and working with VAT Tax Agencies
  • Excellent attention to detail
  • Good knowledge of IT and Microsoft Office suite, including word, excel, PowerPoint.
  • Flexible attitude to attend to urgent matters as and when they arise.
  • Strong oral and written communication skills
  • Strong organizational and time management skills, and ability to prioritise.
  • Must be a self-starter and self-driven.
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills
